Enable the BambooHR Two-Way Integration: Sync Signed Handbooks Automatically

Turn on AirMason's two-way BambooHR integration to automatically upload signed handbook PDFs and write signature details back to each employee's BambooHR profile - no manual filing required.

The BambooHR two-way integration automatically uploads each signed handbook PDF to the employee's BambooHR profile and writes the signature timestamp, signature ID, and signature name back to BambooHR custom fields - so your records stay in sync without any manual filing or data entry.

Step-by-step setup

Step 1: Make sure your handbook is published. The two-way integration only syncs signatures collected from published documents, so confirm the handbook status shows Published before continuing.

Step 2: Click the Signatures tab.

Step 3: Click the Settings sub-tab inside Signatures. This is where document-level signature options are configured, including read receipts, acknowledgement language, and the BambooHR Signature Write-back integration.

Step 4: Find BambooHR Signature Write-back in the settings list and toggle it On.

Step 5: Click the Settings link next to it to open the BambooHR Sync Settings dialog. This is where you map AirMason's signature data to the right fields in BambooHR.


Step 6 (Optional): Select a PDF Category from the dropdown. This is the employee file category in BambooHR where AirMason will upload the signed handbook PDF (for example, Signed Documents). If you leave this blank, the PDF will be uploaded to BambooHR's default location.


Step 7: Map the Signature Timestamp field. Open the dropdown and choose the BambooHR custom field where the signature date and time should be stored.

Step 8: Map the Signature ID field. Choose the BambooHR custom field where the unique signature ID for each signing event will be stored.

Step 9: Map the Signature Name field. Choose the BambooHR custom field where the name the employee entered when signing should be stored. This makes it easy to see exactly how each employee signed the document directly from their BambooHR profile.

Step 10: Click Save inside the BambooHR Sync Settings dialog to apply your field mappings. AirMason will start using these mappings the next time an employee signs the handbook.

Step 11: (Optional but recommended) Click View Sync Status to open the Pending / Failed Syncs panel. This is where you can monitor sync activity, see which signatures have not made it across to BambooHR yet, and troubleshoot any failed records. If everything is working you should see "No pending or failed syncs."

Step 12: Back on the document signature settings page, click Save Changes to finalize and apply the BambooHR Signature Write-back configuration to this handbook. Your two-way integration is now live for this document.

What happens next

From this point on, every time an employee signs the handbook in AirMason, the integration will generate the signed PDF, upload it to the employee's BambooHR profile under your chosen category, and write the signature timestamp, ID, and name into the BambooHR custom fields you mapped.

You can return to BambooHR Sync Settings at any time and open the Pending / Failed Syncs tab to monitor sync health and troubleshoot any records that did not upload successfully.
