How to set a temporary password for an employee

Collaborators can set a one-time temporary password so an employee can sign in and choose a new password of their own.

If an employee can't sign in to their handbook, an admin can set a temporary password for them. The employee signs in with it once, then sets a new password of their own. Temporary passwords expire after 24 hours, and the employee's existing password or SSO sign-in keeps working in the meantime.

For admins: setting a temporary password

1. In your admin dashboard, go to Manage organization → Employees and click the employee's name.

2. Click "Set a temporary password to login" under Login.

3. Choose the password type: "Random password" or "Use their unique identifier".

Note: The unique identifier option only appears for employees who have one on file, so not every account will show it.

4. Click the eye icon to view the password, and the copy icon to copy it to your clipboard.

5. Click "Create password".

6. Send the password to the employee.

Their profile now shows "Temporary password active" with the time left until it expires. Share the password with the employee by whatever method you normally use, such as email or your internal messaging tool.

7. Need to change it? Click "Edit" to regenerate the password, or "Cancel" to remove it.

In the Edit window you can switch the password type, generate a new password, or click "Cancel temporary password" to remove it altogether.

8. Track what happened in the Activity feed.

The employee's Activity feed shows when the temporary password was set and by whom, when they logged in with it, and when they set a new password of their own.

For employees: signing in with a temporary password

1. Go to your handbook's login page, enter your username or email and the temporary password, then click "Sign in".

2. You'll be asked to set a new password. Enter a strong password that meets the requirements shown.

3. Confirm the password and click "Set my new password".

4. Voila! You're signed in. Use your new password from now on.

Frequently Asked Questions (FAQ)

How long is a temporary password valid?

24 hours from when it's created. If it expires before the employee uses it, a collaborator can click "Edit" on their profile to generate a new one.

Does a temporary password replace the employee's existing password?

No. Their existing password or SSO sign-in keeps working. The temporary password is an extra way in until they set a new password.

Why don't I see the "Use their unique identifier" option?

That option only appears for employees who have a unique identifier (such as an employee ID) stored on their profile. If the employee doesn't have one, use "Random password" instead.

Can I see whether the employee has used the temporary password?

Yes. Open the employee's profile and check the Activity feed. You'll see "Logged in with temporary password" once they've signed in, and "Password set by employee" once they've set their own.
