How to create an automated welcome email for a handbook

Looking to send an email to new employees with access to the handbook? Automated Welcome Emails allow you to send personalized welcome messages for a specific handbook or group — complete with login details for a seamless onboarding experience. This is a great way to ensure that new employees added to a group with handbook access automatically receive an email.


Step 1: Click the Handbook tile in your AirMason dashboard.

Step 2: Click the three dots at the top right corner of the handbook tile.

Step 3: Select Settings from the drop-down menu.

Step 4: Click the Advanced tab in Settings.

Step 5: Toggle the switch to turn automated welcome emails on or off for your document.

Step 6: To personalize the welcome email, click Customize.

Step 7: Deselect the default options, then type your custom message in the provided box.

Step 8: Click Save Changes to apply your custom email content.


Managing When Welcome Emails Are Sent

Decide whether to notify existing employees or only new additions to the group.

Step 1: To send emails immediately to everyone in the group connected to the document, select Send automated Welcome Emails to all employees in that group.

Step 2: To only send emails to future employees added to the group, choose Only Send automated welcome Emails to employees who are added to Airmason from now on.

Step 3: Click Save Changes to confirm your preferences.

Customizing and automating welcome emails simplifies onboarding and ensures that every team member gets the right information as soon as they join. Adjust these settings to match your company’s workflow and communication style.
