Uploading Multiple File Formats to AirMason

Upload any file in its original format, share it in minutes, and convert it into an editable AirMason document whenever you're ready.

This feature is a beta feature, please contact an AirMason team member to enable it.

Uploading documents in AirMason just got a lot more flexible! You can now upload files directly in their original format, use a much wider range of file types, and take advantage of a smarter conversion flow that puts you in control. Whether you want to share a file in minutes or turn it into a fully editable AirMason document, you're covered.

How the new upload flow works

When you upload a document in a format we can convert PDF, Word (.doc, .docx), plain text (.txt), or PowerPoint (.ppt, .pptx). You'll be asked whether you'd like to convert it into an AirMason document or upload it directly in its original file type. Here's the difference:

Upload directly

Your file is ready on your dashboard within a few minutes and can be shared with employees right away through the Access menu. Keep in mind: files kept in their original format can't be edited inside AirMason.

Convert anytime

Prefer to edit in AirMason? No problem. At any point, open a direct upload and click Convert. AirMason creates an editable duplicate in AirMason format, while keeping your original document intact.

Ready to get started? Follow the steps below to upload, organize, and manage your files so your team always has what they need.

Step 1: Start a new upload

Head to your Admin Dashboard and click the + New button to kick off a new upload.

Step 2: Choose your file

Select the file you'd like to upload. AirMason supports a wide range of file types. If your file is a PDF, Word, .txt, or PowerPoint, you'll get the option to convert it or keep the document in its original format.

Step 3: Name, save, and confirm your upload

Give your document a clear, descriptive name so it's easy to find later, then choose the folder where it should live to keep your workspace tidy. When you're ready, click Confirm to finish. Direct uploads are ready in just a few minutes. If you're converting to an AirMason file, it will take around 24–72 hours depending on the document type.

Step 4: Convert or host the file

Decide whether to convert the document into an AirMason file or host the original (for example, as a PDF). Converting lets you edit it directly in AirMason; hosting keeps the file exactly as-is, though it won't be editable.

Step 7: Review the upload date and assign access

If you host the original file, you'll see its upload date right on the document (you can always convert the file later if you'd like to edit it in AirMason). To set who can view or use the document, click the Access button and choose your employees. Once you assign employees, the document goes live on the employee portal (if the document hasn't been converted).

What file types can convert to an AirMason document

PDF, Word (.doc, .docx), plain text (.txt), and PowerPoint (.ppt, .pptx).

How long does it take to convert?

If you're converting to an AirMason file, give it 24–72 hours depending on the document type.

I just uploaded the document but my employees don’t see it, what happened?

If you've uploaded a document as a regular file (rather than an AirMason file), your employees won't see it until access has been assigned. Here's how to make it visible:

  1. Go to the document tile and open the Access tab.

  2. Assign employee access.

  3. Save your changes.

Once access is assigned, the document will appear on the portal for your employee

Can I share a direct link to employees without them needing to sign in?

Yes, you can share a direct link so employees can view the document without signing in.

Keep in mind, though, that signatures can only be collected on documents that have been converted to AirMason files. So while a direct link works for viewing, you won't be able to collect signatures through it. To collect signatures, you'll need to convert the document to an AirMason file first.

Where and how do my employees retrieve the document?

Employees can access the document through the employee portal. Once they're logged in, the document appears alongside their other AirMason documents, and they can open and view it just like any other document in the portal.

And that's it! Managing documents in AirMason gives your team easy, secure access to every important file. Convert files when you need deeper editing, or host them for quick sharing.
